Grant - Reporting

As from 2017, certain grants shall be reported via Prisma. Summary of the reporting process
Scientific reporting: a personal message under the heading Notification will appear on the front page when you log into your account in Prisma when it is time for you as project leader to submit the scientific report. You will also receive an email from Prisma stating that it is time to submit the report. Once you have filled out the information requested in the form in Prisma and registered the report, it will be forwarded to the funding body.

Financial reporting: a personal message under the heading Notification will appear on the front page when you log into your account in Prisma when it is time for the financial report on your grant to be submitted. Both the person appointed by the administrating organisation to carry out the reporting task (normally an accountant) and you, the project leader, will receive this personal message as well as an email from Prisma. The accountant shall fill out the information requested in the reporting form in Prisma and register the report, which is then forwarded to you for checking. A personal message on the front page under Notification will appear when you log into your account in Prisma once the accountant has registrered the report in the system. You will also receive an email, stating that it is time to check the report. You cannot make any changes to the report yourself. Click on “Decline” if any information in the report needs correcting. The report is then sent back to the accountant together with a message from you. After correction, the report needs to be re-registered and then checked by you. When you click on “Approve”, the report is forwarded to the funding body.

Report summary for the grant

You can see all your grants awarded on the page Grants under the tab Applications and Grants. Click on the Details button to the right of a specific grant to see the grant summary.

 

The reporting to be done on the grant is shown under the heading Reporting in the grant summary. Use the Write button to fill out information in the reporting form. You can use the Open button to view and read what has been written in the form, but not edit the information.

The status of the report in question can be seen in the Status column (see the image above). The start and end of the reporting period can be seen in the columns Start date and End date. During this period, the reporting form can be filled out and submitted.

Scientific reporting

The scientific report shall be filled out by you, the project leader for the grant. You will receive an email from Prisma, and also a personal message on the front page when you log into your account in Prisma, telling you it is time to submit the scientific report.

You can access the reporting form either by clicking on the Details button to the right of the task (see the image above), or by going to the report summary for the grant on the Grants page in the Applications and grants tab (see the section above).

To open and fill out the reporting form, click on the Write button (see the image below).

You can save a draft of the form by clicking on the Save button and then on Close. When the report is completed and you want to submit it to the funder, please go to the Register page (see the image below). The system will inform you if any mandatory information is missing. When any correction has been made, tick the box I confirm that the reporting instructions have been complied with and that the information provided is correct, then click on Register. The report will then be registered with the funding body. If the funder requests any supplements, you will receive a notice, and the form will then be re-opened to add the supplements.

Financial reporting

The financial report shall be filled out by the administrating organisation, but be checked by you, the project leader, before being submitted to the funding body.

When it is time to submit the financial report on your grant, the person appointed by the administrating organisation to be responsible for the financial reporting (usually an accountant) and you, the project leader, will receive an email from Prisma. When the accountant responsible has filled out the information in the reporting form and registered the report, you will receive an email and a notice on the front page when you log into Prisma, stating that it is time to check the report (see the image below).

You can access the reporting form either by clicking on the Details button to the right of the task (see the image above) or by going to the reporting summary for the grant on the Grants page in the Applications and grants tab (see the previous section above).

Click on the Open button to read the financial report (see the image below).

 

The form opens

When you have checked the information in the financial report, click on either Approve or Decline to accept or refuse the report.

When you click on Approve, the report is forwarded to the funding body. If any of the information needs changing, you should Decline the report. The report is then sent back to the responsible accountant together with a message from you:

You may add more receipients to your message under the heading Recipients. Under the heading Reason, you state your reasons for not approving the report and suggested changes. Please note that the main responsibility for the financial report lays with the administrating organisation, not the project leader. The accountant needs re-registered the report and have you check it again. Once you click Approve it is sent to and registered with the funding body.
