Reporting tasks

As from 2017 the administrating organisations are required to submit certain reports in Prisma.

If you are a reporting officer in Prisma, you provide information and register the financial report. The project leader must review and approve the financial report before it is submitted to the funding body. You will receive an e-mail when the funding body has registered the financial report.

The scientific report is submitted by the project leader.

Financial report

Simplified process of the financial reporting in Prisma

  • The report officer gets an e-mail from Prisma when the reporting period starts and the form for the financial report opens.
  • The report officer enters the information in the financial report form and registers the report in Prisma.
  • The financial report is forwarded to the project leader. The project leader cannot edit the financial report, but if the information is incorrect they can decline the financial report.
  • If the project leader declines the financial report, the report officer at the administrating organisation must edit the financial report. Then the report officer registers the financial report once more. The financial report is submitted to the funding body when the project leader approves the financial report.

Write a financial report

Your report tasks show when you log in to your Prisma account

All the users who are responsible for reporting in Prisma, can perform the report tasks.

If you are a reporting officer, you will receive an e-mail when the reporting period starts.

  1. Log in to your Prisma account.
  2. Click on the tab ORGANISATION TASKS (A).
  3. Click on Report (B).
  4. Click on Open (C) on the row of the grant.
  5. Click on Edit (D) to enter information.
  6. Click on Save (E) and close the browser tab.

You can edit the financial report as long as you have not registered it.

Register a financial report

Register the financial report when you have entered mandatory information

If mandatory information is missing, you cannot register the financial report.

Follow the instructions 1 - 4 in Write a financial report.

  1. Click on REGISTER (A).
  2. Click on the link and enter any missing mandatory information (B).
  3. Tick the checkbox I certify that the information provided is correct (C).
  4. Click on Register (D).
  5. Click on OK in the message box (E).
  6. Click on OK (F).

When you register the task, it disappears from the list of reporting tasks, and the project leader receives an e-mail and a message in Prisma.

Edit and re-register a financial report

The project leader must approve the financial report before it is submitted to the funding body.

When the project leader declines the financial report

  • The project leader cannot edit the financial report, but they can decline and suggest changes to the reporting officer.
  • The project leader sends in suggested changes. Every reporting officer who has access to the reporting folder in Prisma, will be able to read the message.
  • Prisma unlocks the financial report for editing.
  • The report officer re-registers the financial report when the information is correct.
  • Prisma forwards the financial report to the project leader before it is submitted to the funding body.

When the funding body demands further information

  • Every reporting officer who has access to the reporting folder in Prisma, will be able to read the message from the funding body. The project leader will also receive the message from the funding body.
  • Prisma unlocks the financial report for editing.
  • The report officer re-registers the financial report when the information is complete.
  • Prisma forwards the financial report to the project leader before it is submitted to the funding body.

Scientific report

The project leader of the awarded grant writes and registers the scientific report. The scientific report is submitted directly to the funding body.
