Panel chair

With the role as chair for a review panel, you have access to functionality for distributing review tasks on applications, and sometimes project outlines, as well as approving the final statements. You can also upload documents that become available to the members of the review panel. The vice chair have the same access as the chair, and can be the acting chair when necessary, for instance when the chair has a conflict of interest.

Distribute applications

As a chair or vice chair you can distribute review tasks to the members of the review panel. You also have access to a summary that shows you the current distribution of review tasks. There are two ways to distribute review tasks, based on the list of applications or the list of reviewers.

The funder, and the workflow for the specific review, decides whether you need to distribute review tasks, of if that is handled by the funder.

Each application needs to have a rapporteur in order for you to save the distribution of review tasks. You cannot distribute an application if the reviewer has reported a conflict of interest for it. For that reason, we recommend that you do not perform your distribution until all reviewers have submitted their conflict of interest-reporting. In some cases the panel members also report competence when reporting their conflicts of interest, which is useful information in regards to the distribution.

Review tasks can be distributed either on the basis of applications or reviewers. In the Distribution summary you can find as summary showing how many applications each panel member has been assigned to review as rapporteur or reviewer.

Distribute priority on project outlines and applications

Sometimes the review in Prisma uses a function called priority. This functionality is used for project outlines but can also be used for full applications, both in one-step and two-step reviews where the application is preceded by a project outline. The distribution of priority is handled in the same way as the distribution of regular review tasks concerning assessments and preliminary statements, either by application or by reviewer.

  • How do I distribute applications per reviewer?

    First you select a member of the review panel, then you check the applications where they should have either the role reviewer or the role rapporteur. Click the button Distribute by reviewers . Select a reviewer through the drop down-menu Select panel member . Check the box for the application(s) that the selected panel member should review. Select which role the panel member should have on the selected applications in the drop down-menu Role below the table of applications. Click the button Distribute .

  • How do I distribute review tasks per application?

    For each application, all members of the review panel are listed. Each member can be assigned either the role of reviewer or the role of rapporteur on the application. Click the button Distribute by applications . Click the button Select on the row for the relevant application. Select which role each member of the review panel should have on the application in the drop down-menu in the column "Row".

  • What happens if I change a reviewer's role on an application to "No Role"?

    If you remove the assigned role (reviewer or rapporteur) from a panel member on an application, the assessments or preliminary statements that they have written for this application are deleted. You will see a message detailing which review tasks will be affected by removing their role. Click the button Close if you don't want to make the change in Role after seeing the detailed message.

  • Can I change the assigned role of a reviewer on an application?

    You can change the role of a panel member on an application from reviewer to rapporteur or vice versa. If the reviewer has review tasks that are saved or submitted for the application, the content is transferred into the new task type. You will see a message regarding which tasks will be transferred. The role can also be removed completely to the status of No role . In this case, saved or submitted review tasks will be deleted.

Approve the final statement

The panel chair needs to review and approve the submitted final statements written by the panel members. If the panel chair has a conflict of interest on an application, the vice chair will perform this duty. The handling officer at the funder will make a final review and approval of the statement before it is published to the applicant.

Through the page All applications in the review panel, you can find the functionality to edit and approve submitted final statements.

  1. Click All applications in the left-hand menu in the review panel.
  2. Click the button Select on the row for the relevant application.
  3. Select Read assessment in the drop down-menu.
  4. Click the button Approve.
  • As a panel chair, how do I edit a final statement before approving it?

    If you are the panl chair or vice chair, you can make minor corrections in the final statement before approving it. Click the menu item All applications in the review panel. Click the button "Select" for the relevant row. Click "Read assessment" in the drop-down menu to view the final statement. Click the button "Edit final statement". Once you are in editing mode, the text on the button will change to "Finish editing". Click the button "Finish editing" once you are finished, your changes will then be saved automatically.
