Applications and grants

You can find the applications you are working with as drafts, or that you have submitted in Prisma, under the menu item Applications and grants in your account in Prisma. Depending on the application status you can also show and download decisions, final statements and approval of terms.

  • Where can I find the event log for my application?

    The event log shows you information about the application, for instance when the application was registered, deregistered, reregistered and signed. If and when your application has been granted you can also see any requests you have made on the application. Click on Applications and grants in the main menu. Click the button Details for the relevant application. Click the button Event log in the next view.

  • Where can I find the decision and feedback for my application?

    The decision and final statement are available after a decision has been made on your application. When that happens you will be alerted by e-mail. Open the page Applications and grants . Click the button Details for the relevant application. Click the button Deeds in the next view. The available documents are listed in a table, with the option to download them in PDF-format.

Signing of a grant

Grants where you are the project leader or a participating researcher are visible in the menu item Grants.

As a project leader, you will receive an e-mail once the document Approval of terms has been published in Prisma. This means that the document is also available for signing by you and the organisation.

  1. Click the link in the e-mail message or click the button Details for the relevant application in Prisma.
  2. Click the button Signing.

Once the document has been signed by you as a project leader, the organisation will receive a message. Once the organisation has signed the document, you will receive an e-mail as well as a message on your account in Prisma. The organisation can also decide to reject the signature or reject the grant entirely, in which case you will also receive a message.

  • Can I reject signing the approval of terms for a grant?

    If you find that something in the document Approval of terms is not correct, you have the option of rejecting to sign it. It is important to contact the funder if you still want to receive the grant, to make sure that they understand you are not rejecting the grant, but rather that you wish to have the document adjusted before signing it.

Requesting changes in your ongoing grant

If you wish to request a change in your ongoing grant, you can submit a request in Prisma. It is only possible to request one change at a time.

  1. Select the menu item Applications and grants.
  2. Click the button Details for the relevant grant.
  3. Click the button Requests on the next page.
  4. Select the relevant request in the drop down-menu.

In most case, your administrating organisation must approve your request before it is submitted to the funder for processing.

In Prisma you can request the following changes:

  • Extend availability period
  • Change project site
  • Change administrating organisation
  • Change project leader
  • Change project leader and administrating organisation
  • End grant prematurely

Always make sure to submit your request in good time since it can take some time to receive a decision.

  • Can i withdraw a submitted request?

    You can withdraw a submitted request up until the administrating organisation has signed it. Navigate to the page Applications and grants . Click the button Details for the relevant grant. Click the button Requests on the following page. Select Withdraw request . The option to withdraw the request is removed once the administrating organisation has signed it, as it is distributed to the funder once the organisation signs the request.

  • How do I end my grant prematurely?

    You can submit a request to end the grant prematurely on the page Applications and grants . Submit your request before the grant period ends and while there is still enough time to handle the request before the grant ends. The request doesn't require approval from the administrating organisation, it is sent immediately to the funder for approval.

  • How do we change both the project leader and administrating organisation for our project?

    Submit the request "Change project leader and administrating organisation" from the page Applications and grants . In this case it is possible to make two requests simultaneously to shorten handling times in cases where both the project leader and administrating organisation needs to be changed. The request will be sent to the new project leader, and to both the present and desired administrating organisations for approval. Once they have approved the request it is sent to the funder for approval. Before any money is distributed to the new administrating organisation, financial reporting is usually required.

  • How do I change project leader for a grant?

    Submit a request for a change of project leader on the page Applications and grants . The request is sent for approvalt to the new project leader and your administrating organisation. Once they have approved the change, the request is sent to the funder for approval.

  • How do I change my administrating organisation?

    You can request a change of administrating organization through the page Applications and grants . The request is sent for approval both to the present and desired administrating organisations. When they have approved the request, it is sent to the funder for approval. When the change is made, financial reporting is usually necessary before payments of the grant are made to the new administrating organisation.

  • How do I extend the availability for my grant?

    You can submit a request for extension of the availability for your grant through the page Applications and grants . You need to make this request no later than november during the final year that the grant is available to you. When submitted, the request is sent to your administrating organisation for approval before it reaches the funder.

Financial reporting

Information about the financial reporting is shown when you click the button Reporting for a grant under the menu item Applications and grants.

When the period for reviewing and approving the financial reporting from the administrating organisation opens, the button Open will be shown.

  1. When the financial reporting period starts, both you and the administrating organisation will receive an e-mail notification.
  2. The administrating organisation fills out the reporting form in Prisma and registers the report.
  3. Prisma will share the financial report with you as a project leader for approval. You cannot make changes to the report, but you can reject the report and make comments about what needs to be corrected in order for you to approve it.
  4. If you reject the financial report, Prisma will send it back to the administrating organisation for corrections. Once the corrections have been made, you will be asked to review and approve the report again.
  5. Once you have approved the financial report, it will be submitted to the funder.

The funder can request a supplementation of the financial report from the administrating organisation. The organisation can also request to supplement the report if necessary. In both these cases, you as a project leader will receive an e-mail notification about these requests.

  • How do I review the financial reporting?

    Once the financial report is available for review you will receive an e-mail message. Click the button Reporting for the grant on the page Applications and grants . Click the button Open .

  • What do I do if something is wrong in the financial report?

    You are not able to make changes in the financial report yourself, but you can decline rather than approve the report. When you decline to approve the report, you can give the administrating organisation information about what needs to be changed. This means that you request the report to be supplemented.

  • What happens when a financial report is being supplemented?

    If you decline the report and request a supplementation your comments will be sent to all the finance officers responsible for the financial reporting at your administrating organisation. Once the administrating organisation has made changes to report, you will be given the task to once again evaluate the report for approval. If the funder requests a supplementation of the report , that request is sent to you and the responsible financial officer at the administrating organisation. The responsible financial officer makes the supplementation and registers the report. You evaluate and approve the report, it is then sent to the funder for approval. If the administrating organisation requests a supplementation of a report that has previously been sent to the funder, the funder will open the report for supplementation. You will be notified about this through an e-mail. In this case, the administrating organisation will supplement the data concerning the current or previous years. You will evaluate and approve the supplemented report before it is once again sent to the funder.

Scientific reporting

Information on the scientific reporting is shown when you click the button Reporting for a grant under the menu item Applications and grants.

Once the scientific reporting period starts, the button Write will be shown to you as a project leader. Once you have filled out the requested information in the report form and have registered the report, it will be submitted to the funder.

  • How do I know when to submit the scientific report?

    You will receive an e-mail message from Prisma when it is time to write and submit the scientific report. When you log into your account in Prisma you will also receive a message in your profile that you have a reporting task to complete. All relevant reporting dates are available in the grant summary under Applications and grants . You can also see the relevant deadlines for submitting the scientific report in your Approval of terms document. If you have had an extension of the grant's availability period, the original reporting date might not be relevant as the reporting period starts at the end of the availability period.
